Do you recognise any of these scenarios?
“I just can’t do it all anymore. I am working 24/7. My wife is also finding it increasingly difficult to handle the
invoicing and administration as well as chasing and looking after our growing family.”
You have become a victim of your business’s success, and you understand the need for cost effective administrative help tailored to your
requirements. You need to focus your attention on the things that will ensure that you are able to maintain your current business and allow
it to grow; decision-making, sales, marketing, service. Your wife is less able to help you, as she needs to concentrate even more on the
increasing demands of your growing family.
“I don’t need a full time financial administrator, but I do need someone to keep my books up to date for a couple of hours once
or twice a week and also maybe chase up some of the slow and late payers. It would also be useful if I could get a good picture of how
the business is doing each month”
You need to be out there talking with customers, negotiating with suppliers and when not out there making sure that orders are being
processed and despatched on time. Whilst doing all this you need to keep an eye on the cash flow, know which lines are the better and more
profitable sellers and be able to get a regular reliable picture of how your business is doing generally.
“We need to do a full mail-shot to all our donors and patrons for this year’s major fund raising event. But we also need someone
to administer and follow up on the mailing campaign. From experience we know that the follow up is particularly important as many of our
donors need to be reminded and prompted to give as well as attend the event.” Everyone has their pet causes which they are
happy to support on a regular basis, but human nature being what it is, many people will put an appeal/fund raising letter to one side
meaning to deal with it later. Eventually it gets buried way down the pile and forgotten. A carefully co-ordinated mailing and follow up
mailing/telephone campaign can significantly add to the initial response and the success of the overall event.
“I would like to do a targeted mail shot to prospective customers, but I don’t have the time or expertise to put together a
database of potential customers. Even if I could get this far I would much prefer that someone else handled the mailing and perhaps any
initial response from prospective customers.”
You understand that for a mail shot to be effective it is important that the right people are targeted. Databases can be bought, but are
usually quite expensive and still need qualifying to ensure that not only are any prospective customers still trading, but that the main
contact details are up to date. Then there is the administration, co-ordination and the sheer time and effort of readying the letters for
mailing.
“I need to find a better a way of controlling the stocking and purchase of supplies for the business. There are quite a number of
items that if we run out cause so much hassle for everyone concerned. On the other hand I don’t want to overstock on anything and I want
to be sure that we are buying at the best prices. There is really no one member of staff that I can ask to take this on and I don’t really
have the time to give the attention it needs”
You are not on your own, this is a typical situation for a small business particularly where a substantial number of consumables are involved
in the day-to-day running of the business. Usually a few hours of a week of someone’s time dedicated to this task is all that is needed
to stay on top of the situation.
“ We need someone with experience to carry out some initial desk and internet research to get a fuller picture of what is going
on both regionally and nationally. We then need to set up a questionnaire based survey, someone to analyse the results and produce a report
so that we can fully understand the views and needs of the people in our own area.” You know that your organisation will
benefit greatly from such an exercise but does not have the resources available to undertake such a project. Such projects are usually of
short duration, three to six months at the most requiring a range of skills not usually found in smaller organisations or businesses. These
projects also need to be managed.
(This type of exercise can provide very useful information to businesses, local authorities, community organisations and other service
providers. This type of research is usually undertaken to enable a business or organisation to make informed decisions on future strategy,
new products, new services and other new initiatives).
“We really do need to improve awareness of what we do and we have to offer. It’s about time we had some decent flyers and other
material we can send out every time we get an enquiry. It’s almost embarrassing, I am sure we are missing business because of
this.”
Simple, straightforward marketing literature doesn’t have to be expensive and there are also other ways of getting your message across
without having to get involved in major expenditure. The first thing to know is that help and expertise is available.
